Terms and Conditions

Prior to the start of intervention, please read the following terms and conditions, completing and signing them on the final page of the Speech Den’s referral form. Then return the signed copy to The Speech Den, 21 Oldfield Crescent, Cheltenham, Gloucestershire, GL51 7BB.

FREE CONSULTATION:

A free consultation is offered to discuss your specific needs and to describe the service. This is usually done via telephone call or email enquiry. Please do not hesitate to contact if you have a query.

PRICING:

Initial Assessment: £200 for 1½ hours, additional time is charged at £70 per hour this includes a detailed report with specific strategies and recommendations included. (For those requiring less detailed information a “tick sheet” summary can be provided instead of a full report. The cost of this assessment is £100).

Before the assessment you will be sent a referral form and questionnaire to complete. This will provide information about communication, processing and medical history, along with highlighting your concerns, which will help in planning the assessment. The assessment appointment will be confirmed in an email or telephone conversation. The length of time for an initial assessment will vary, depending on each individual person’s needs and abilities, but may occur over more than one session. It is not always possible to gauge if more than 1 assessment session is necessary from the outset. Once the assessment is complete, results will be discussed with you and a report provided.

THERAPY SESSION:

£70 per hour

A therapy session normally lasts approximately 45- 60 minutes. All decisions about therapy are made jointly with the parents/carers. Therapy sessions are offered according to the individual’s needs , the frequency and location (e.g. Speech Den, home, nursery, school) being agreed according to the specific needs and individual circumstances for each child and family. To achieve the best results, our speech and language therapists and parents/carers/teaching staff work closely together, with everyone actively participating in therapy and regular practice of the therapy activities carried out between therapy sessions. Therefore, someone will need to be present to work with the therapist during all of the sessions. Occasionally our Speech and Language Therapists may work 1:1 with the individual for part of the session and spend the other part describing the aims and the detail of carryover activities. If required joint sessions with other professionals (e.g. Educational Psychologists,Occupational therapists etc), involved with your child may also be discussed and planned as appropriate.

Sessions lasting less than 40 minutes are charged at a flat rate of £50 per session. However, there are few sessions that last less than 45 minutes. Often school based sessions may last 35-40 minutes but this does not include the time needed for liaison with parents (face to face or via telephone), teaching staff etc.

PRE SCHOOL AND SCHOOL VISITS:

£70 per hour

Visits can be made to your child in their educational setting in order to:
  • Observe how your child communicates in their setting as part of a detailed assessment.
  • Demonstrate activities / train staff to support your child.
  • Meet with you and staff to agree a plan for supporting your child.
  • Provide intervention for your child within their setting.

THERAPY PROGRAMME DEVELOPMENT:

£70 per hour

An individualised programme can be created for your child which includes:
  • Clear goals for your child to achieve.
  • Detailed strategies and activities for you and/or staff to carry out.
  • Quality resources for activities within the programme.
  • Demonstration of activities at your home or in your child’s educational setting.
  • Review of progress throughout the programme as required.

1:1 SESSIONS:

Sessions can be offered in our Speech Den to provide 1:1 support alongside parents/ carers.

TAKING DIGITAL RECORDING AND PHOTOGRAPHS WITHIN SESSIONS:

To help with the analysis of your child’s abilities, parts of the assessment sessions may be digitally recorded (visual and audio) to enable the therapist to carry out more detailed analysis after the session. Photographs may also be taken during sessions which will be used to help illustrate activities within the programme. The digital recordings also provide a historical record of your child’s progress and skills over time. Please see the Privacy Document regarding confidentiality and data protection.

LIAISON AND MEETINGS:

£70 per hour pro rata

Lengthy telephone conversations with other professionals involved in your child’s care (e.g. more than 10 minutes) and meetings (e.g. annual reviews, planning meetings) will be charged in terms of the total time required.

ADDITIONAL DETAILED REPORTS AND PROGRAMMES:

£70 per hour pro rata

Additional detailed reports, letters and therapy programmes are charged in respect of the total time required. You will be advised in advance of approximate costs.

TRAVEL CHARGE:

Clients are usually seen at the speech den or nursery / school. Travel mileage to the individual’s location from the Speech Den in Cheltenham will be charged at 50 pence per mile. Costs for travel time over an hour from the office will be charged at £50 per hour pro rata. Travel costs will be agreed prior to appointments. When a number of clients are visited in the same location travel costs will be shared.

PAYMENT:

All fees are agreed prior to the start of the assessment and therapy. Fees should be paid by BACS, cheque or cash at the end of each consultation or month unless otherwise agreed.

Fees for all other services detailed above will be invoiced if applicable. Accounts should be settled within 10 days of an invoice being sent. An administration charge of £25 will be incurred for late payments.

RECEIPTS:

If a receipt is required this will be issued once payment has been received.

CANCELLATION POLICY:

There is a 24 hour cancellation policy – appointments not kept/cancelled on the day of your session may be charged in full.

If your child’s therapy session is to take place in school and your child is unwell it is your responsibility (and not the school’s) to advise that your child is not at school on that day.

If more than 2 sessions in a row are cancelled or missed, we can discuss if it is beneficial to put therapy on hold and then start it again when you feel that it is more appropriate.

Occasionally we may need to rearrange your appointment. We will aim to contact you at least 48 hours in advance and arrange another appointment to suit you.

CIRCULATION OF REPORTS AND SHARING INFORMATION WITH RELEVANT PROFESSIONALS:

It is considered best practice to share information with relevant professionals in order for your child to receive appropriate therapy and for the SLT to work efficiently and effectively with your child.

The Speech Den is committed to protecting your child’s privacy and therefore your consent will always be gained before discussion with other professionals and reports/information are circulated to others, unless obliged by law to disclose personal data.

DISCHARGE:

At the end of each episode of care (i.e. block of therapy sessions) therapy goals will be reviewed to determine if your child’s potential has been achieved in the area targeted by therapy. At this point, it may be appropriate for either your child to have another block of therapy sessions, to have a short break while others continue to implement the speech therapy programme with a planned review or to be discharged from therapy as all goals have been met and the individual has reached their maximum potential.

You may also choose to withdraw from therapy at any time or postpone therapy.

REVIEW OF TERMS AND CONDITIONS:

Fees and terms & conditions will be reviewed annually, being applicable from the 1st April.

CONSENT TO TREATMENT:

By attending the assessment and therapy sessions it is presumed you are consenting to treatment and have read and understood the above terms and conditions.

COMPLAINTS:

If you are not happy with any aspect of the service, please discuss it as soon as possible with your child’s therapist or alternatively Cathy Shilling. If you continue to have a concern, then please contact the Association for Speech and Language Therapists in Independent Practice to discuss it.

PRIVACY STATEMENT

This statement sets out the privacy you can expect from The Speech Den in relation to the personal data that is held about your child and the use of that information. Personal data is collected and kept on your child in order that the speech and language therapist who is working with your child can provide the most appropriate and evidence based intervention possible in order to meet your child’s speech and language therapy needs.

The Speech Den is committed to protecting your privacy and will always involve you in deciding whether reports/information are provided to anyone else, unless obliged by law to disclose personal data.

Confidentiality will be observed and personal data held by The Speech Den will be stored securely in a locked facility or on an access controlled electronic system and will not be available to anyone other than those registered at The Speech Den. Portable electronic devices used to hold data about your child will always be password protected to avoid unintentional access by others.

Records about your child will be kept in order to fulfil statutory requirements that apply to all business and professional activities. The Speech Den will hold children’s notes until a child is 25 years old, following which they will be destroyed in a legally approved manner.

The Speech Den has policies in place in accordance with General Data Protection Regulation. Speech and Language Therapists are a registered profession, regulated by the Health Care Professionals Council (HCPC).
